Description
JOB SUMMARY
This position coordinates the activities to support the order fulfillment process; researches and resolve issues relating to customer service between the RDC (regional distribution center) and OPCOs (operating company). The scope of responsibility also includes resolving issues related to product integrity and shelf life quality inbound to the RDC facilities and also outbound to the operating companies in the region. The position requires establishing and maintaining working relationships with customers, suppliers and other agencies that enforce compliance on any number of product-related issues with an emphasis on product recalls. The associate must possess excellent customer relations management skills.
RESPONSIBILITIES
- Understand order fulfillment processes/systems and how they relate to the RDC operations and operating companies.
- Understand the RDC requirements for master file data and the process for maintaining accurate and complete data.
- Act as the RDC liaison with the operating companies researching and resolving all issues relating to product condition, shelf life, mis-picks, overages, shortages, customer complaints, vendor-related issues and any other issues leading to discrepancy claims.
- Collaborate with Supplier Compliance Coordinator on vendor-related OPCO claims to determine root cause resolution.
- Review associated research and assists with decisions associated with claim approval/denial.
- Communicate effectively, both written and verbal, with all levels of the organization.
- Work effectively with RDC departments as well as corporate departments to support the order fulfillment process.
- Provides direction and assistance for inbound product purchase order issues to facilitate product receipt.
- Generate required unbilled purchase orders or purchase order modifications to ensure proper billing and traceability.
- Research and resolve issues relating to all master file data critical to the RDC operations to include communicating with Coding and Standards and Supply Chain Management to ensure data accuracy.
- Work with Sysco Merchandising and Supply Chain Services (SMS), Supply Chain Inventory Management (SCIM), Supply Chain Operations (SCOPS), Sysco Quality Assurance, operating companies and various government regulatory agencies concerning product recalls, withdrawals, and other food safety and quality-related issues.
- Review data related to all recalls for RDC affected product as well as product shipped to operating companies and determines product disposition based upon direction received from Sysco Quality Assurance. Accurately maintains and reports appropriate “recall” files to ensure regulatory compliance.
- Monitor all RDC product shelf life to ensure proper rotation, salability and compliance with corporate policies.
- Works with SCIM and OPCO to maximize salability without risk of distribution of expired products to reduce shrink and ensures vendor credit when necessary.
- Ensure defective, outdated, overstocked and mis-shipped product is returned or destroyed, and that proper credit is issued from suppliers.
- Initiates vendor claims and provides documentation to various RDC departments to initiate and execute product returns.
- Produce timely communications to the supervisor on order fulfillment-related issues.
- Provide input on communication process improvement.
- Provide input on Standard Operating Procedure improvement.
- Write and review periodic status reports.
- Provide back up support to the Supplier Compliance Coordinator as needed.
- Maintain accurate files and filing systems.
- Ensure that the work area is clean, secure, and well-maintained.
- Report any unfixable or unsafe issues to the supervisor.
- Observe and enforce all safety rules to reduce accidents and injuries.
- Ensure office equipment is used safely and professionally.
- Understand and comply with all applicable company policies (i.e. attendance, Code of Business Conduct & Ethics, Associate Handbook, etc).
- Comply with all applicable State/Federal laws, regulations and policies (i.e. OSHA, HACCP, BRC, etc.)
- Support food safety policies, standard operating procedures, and prerequisite food safety control programs that meet legal and quality requirements and industry best practices as defined in our Food Safety Commitment documentation.
- Accept additional responsibilities or special projects as requested. Other duties may be assigned.
QUALIFICATIONS
Education
- High school graduate or General Education Diploma (GED) required.
- Bachelors Degree (B.A.) from an accredited college or university preferred;
Experience
- Three to five years of applicable experience; or equivalent combination of education and experience.
Professional Skills
- Must be computer literate.
- Prefer proficient use of Microsoft Excel, Word, Access and Crystal Reports.
- Prefer proficient use of AS400 query/business objects.
- Prefer knowledge of Warehouse Management System (WMS) and Yantra systems.
- Must work independently with minimal supervision, and have strong attention to details.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Must be articulate and effective with written and verbal communication with individuals of broadly varying backgrounds and educational levels.
- Must be able to effectively perform in a multi-tasking environment with frequent interruptions.
- Must have the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Must have the ability to apply concepts of basic algebra and geometry.
- Be able to work proactively, address issues, and solve problems by using previous education and experience in identifying appropriate actions.
- Problems will vary in complexity and there will not always be a clearly defined solution.
- Some solutions may require modifying past applications or creating a solution unique to the current situation, but within the regulations that would apply.
Physical Demands
- Regularly required to use hands to finger, handle, or feel objects or controls, and talk and hear.
- Frequently is required to sit for prolonged periods and is required to use the telephone.
- Regularly required to stand, walk and reach with hands and arms.
- May seldom lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, and the ability to adjust focus.
- Must pass a physical assessment.
- Must be at least 18 years of age.
Work Environment
- Most of the job responsibilities are performed in an office environment, but some portion of the associate’s time may be spent in the operations area.
- Occasionally exposed to fast-moving material handling equipment or other mechanical equipment, freezer/cooler warehouse environments, wet and/or humid conditions, and contained toxic or caustic chemicals.
- The noise level in the work environment usually is moderate.
- This is a full-time position.
- Must have the ability to work a varying schedule which might include shift work (days or nights), weekdays or weekends, and some holidays.
- Work hours may vary or change based on business needs.
- Some travel may be required to support RDC business needs.
